Portfolio Care
The Reserve Study Your Rental Property Never Had.
Condo boards get a documented, ongoing capital plan for their building. Individual owners get nothing equivalent — until now. Portfolio Care brings that same institutional-grade discipline to a single-family rental: scheduled inspections, condition scoring, and a rolling capital plan.

What Portfolio Care Is Not
Keystone Residential Solutions is a licensed general contractor. Portfolio Care is a residential asset engineering and coordination service: we inspect, document, and coordinate third-party trades on your behalf. We are not a property management company and do not provide services that require a real estate or property management licence under Alberta's Real Estate Act — we do not collect rent, hold tenant deposits, place or screen tenants, or negotiate leases. Property management, tenant relations, and lease administration remain the owner's responsibility or should be handled by a RECA-licensed property manager.
What's Included
A Documented System. Not a Handshake.
Scheduled Inspections
Quarterly on the standard tier, monthly on the premium tier for higher-value or higher-risk assets — older mechanical systems, legal suites with tenants, multi-unit properties.
Asset Health Report
After every visit: condition scoring across roof, exterior envelope, HVAC, plumbing, electrical, appliances, and structure — with dated photos and a ranked list of what needs attention.
Rolling Capital Plan
A recommended maintenance and replacement timeline for the next 12, 24, and 60 months, so you budget for what’s coming instead of getting surprised by it.
Vendor Coordination
HVAC, plumbing, electrical, roofing, general handyman, exterior and landscaping — we vet and coordinate the trades for anything flagged.
Single Point of Contact
One person to call, with a defined response-time commitment — not a call centre, not a rotating cast of property managers.

The Cost of Waiting
Early Detection. Not Emergency Repair.
These are illustrative examples based on published industry cost ranges and Edmonton-specific housing data — not guaranteed savings figures. Deferred maintenance typically costs 3–8x more once it's addressed reactively instead of proactively.
Poly-B Plumbing
Common in Edmonton homes built mid-1970s to mid-1990s — an estimated 148,000 Alberta homes still have it. Insurers increasingly restrict or deny coverage on homes that still have it.
Caught Early
Flagged during inspection, budgeted and replaced on your schedule
$0 extra — planned into your capital plan
Deferred
Failure causes water damage; emergency replacement plus remediation
$7,000–$14,000+ in repiping, before water damage remediation
Furnace Wear
Early signs (short-cycling, unusual noise, rising utility bills) are easy to miss without a scheduled inspection.
Caught Early
Serviced at the first sign of wear
$150–$300 service call
Deferred
Mid-winter failure, emergency dispatch, full replacement
$5,000–$8,000+ replacement, plus a cold tenant
Roof Flashing
A small gap in flashing lets water in slowly — the damage is invisible until it isn’t.
Caught Early
Minor flashing repair caught during a routine check
$300–$500
Deferred
Prolonged infiltration, interior drywall and structural remediation
$12,000–$18,000+

Frequently Asked Questions
Is Portfolio Care the same as property management?
No. Keystone is a licensed general contractor, and Portfolio Care is a residential asset engineering and coordination service — we inspect, document, and coordinate third-party trades on your behalf. We don't collect rent, hold tenant deposits, place or screen tenants, or negotiate leases. Property management and lease administration stay with you or a RECA-licensed property manager.
How often are inspections done?
Quarterly on the standard tier, monthly on the premium tier for higher-value or higher-risk assets — older mechanical systems, legal suites with tenants, or multi-unit properties.
What do I get after each inspection?
A written Asset Health Report: condition scoring across roof, exterior envelope, HVAC, plumbing, electrical, appliances, and structure, with dated photos and a ranked list of what needs attention and by when.
What guarantees does Portfolio Care offer?
We acknowledge every request within 1 business day. Every inspection produces a written report within 48 hours, or that inspection is free. Every flagged item is tracked until resolved or explicitly deferred by you, in writing.
What's NOT included in Portfolio Care?
Tenant communication, screening, or placement; rent collection or holding tenant funds; lease drafting or administration; eviction or Residential Tenancies Act disputes; manufacturer or builder warranty claims; and major capital projects, which get scoped separately as a renovation. This list is deliberate — it's what keeps Portfolio Care outside RECA's property-management licensing requirement.
What does the "Cost of Waiting" mean in practice?
Deferred maintenance typically costs 3–8x more once it's addressed reactively instead of proactively. For example, aging poly-B plumbing flagged during inspection can be replaced on your schedule for the cost of the repipe alone — caught after a failure, you're also paying for water damage remediation on top of an emergency replacement.
Is Portfolio Care worth it for a single rental property, or only for a portfolio?
It's built around the single-property case as much as a multi-door portfolio — condo boards get this exact reserve-study discipline for a single building, so there's no reason a single-family rental owner should have less documentation than a condo unit does. Owners with 3+ properties get an additional portfolio-wide capital plan roll-up.
Do you coordinate the actual repair work, or just flag problems?
Both. When an inspection flags something, we coordinate the vetted trade — HVAC, plumbing, electrical, roofing, or general handyman — rather than handing you a report and leaving you to find and vet a contractor yourself under time pressure.
